How to organize books?

By John1701, in Game Masters

So I'm new to RPGs and GMing. I've been GMing this for a couple of months now and am starting a second group. I have almost all of the books (the 3 core, and I currently have 13 supplemental book) and don't know how to organize the material inside. I've been relying heavily on my imagination and the decks for enemies and we've really only been using the books for classes and weaponry.

Any advice? Has anyone made a quick reference guide that they would be willing to share?

I never thought about this before, I guess my group and I subconsciously organized the core books and sourcebooks in this manner... when playing F&D characters we use all the F&D books, when playing AoR characters we use all the AoR books, etc. Now, these characters from different settings can interact, team up, etc. but in large part they stayed within their own setting books (with the optional exception of being able to pick up obligation, morality (automatic if picked up a force rating), and duty (only if voluntarily joined the rebellion)). Of course, equipment, vehicles, etc. from any book was allowed if successfully rolled for given its rarity. Any character also had the option to take any universal career in any book; force-sensitive exile, force-sensitive emergent, and recruit.

When we first started playing, we also only allowed the 'Edge of the Empire' core rulebook. This was just to make learning the game more manageable and to get everybody on the same page. It worked out really well. When the characters finished their intro adventure and flew off into the galaxy in their ship then all the other books, in all the settings, became available.

My advice is talk to your players and decide as a group how you want to organize things. Find out what works for you.

I had to reach for technology to give me a leg up. I built a GM Holocron (a notebook that I run my game from, plenty on that topic around here) and I use http://swrpg.viluppo.net/ to help me track things down in the books. Keeping one's self organized is no mean feat!

I've used your page like crazy! I would always use it but the place I'm getting my second group to meet doesn't have wifi.

I cannot take credit for that page, but I do encourage people to use it!

Do you mean like a comprehensive index? There's one online, swrpg.viluppo.net if that's what you're looking for!

Edit: that's what I get for leading the window open for an hour :)

I keep all the EotE books with each other, all the AoR books with each other, and all the F&D books with each other. I have recently started leaving the EotE and AoR “Adventure” books at home, because I just don’t have room for everything, and the game I’m running now is more F&D-oriented.

Any advice? Has anyone made a quick reference guide that they would be willing to share?

There is swrpg.viluppo.net that has been suggested. I believe that someone also posted a PDF index of some sort within the last few months, but I couldn’t tell you anything more about it than that.

This forum does have a search function at the very top of the page. However, I don’t know if you’ve got enough information yet to be able to find it. Perhaps someone else can remember enough additional details that will help you to be successful?

Easy - I have* two sets of books. One at home and one where we game.

*Well, I have access to a second set of books. I'm not so much an FFG groupie as to buy two of everything.

When it comes to shelf organization I have the three core books together, AoR, EotE and FaD. (Alphabetical.) Then I have the career books, sorted by line (again alphabetically.) followed by location books. Adventures are at the end. This lets me grab a core to hand it to someone; if they want to expand they can grab the career book, or if they are looking for more ideas those location books are nicely clustered. I print off a copy of the spec trees from the begging for xp site, staple them together by career, and that's the quick reference at the table - if a player is real motivated, they can print one off for each spec their character has and keep a copy handy, marked with which talents are purchased.

Beyond that, most of the books are for use between or before games, as they take up a lot of table space when off the shelf. They should be paying more attention to the game than the paperwork, anyways :)

How much does that thing weigh?

I think you're referring to Fanggrip's Index, located here:

The good news is that this is a pdf that can be printed. The bad news is that it appears it hasn't been updated in a while

Yes! Something like this is what I've been looking for! It's amazing! I really wish it was updatable.

Empty, IIRC the thing itself weighs something like 10-15 pounds. Filled with books, it’s more like 60 pounds. Not so heavy that I can’t lift it, but it is a bit of a chore.

Sheesh, I have gigging bass amps that are lighter!

Well, that’s kind of the problem. If you want something that you can print off and take with you to a location without network access, then that’s likely to be less update-able.

OTOH, if you want something that is easily update-able, that is less likely to be something you can print off and take with you.

You’ve got to decide which is more important for you.

You can print off the various index pages from swrpg.viluppo.net, but that will only have the table-level information, and not the additional details that you can get from clicking on the individual object name.

Okay, after a comment like that, I had to get out my luggage scales. ;)

Empty, my Star Wars travelling bookcase weighs 11.0 pounds.

Filled in my current loadout, it weighs 62.5 pounds.

Feel free to do the math, but realize that is probably less than 1/3rd of my gaming-related Star Wars books — the rest are various “Essential Guides”, older gaming books from WotC, etc….

It would be a little expensive to try to replicate this collection down at my FLGS. And I don’t think they’d let me take up this much shelf space for my private collection, either.

My gigging amps weigh in a a modest 58lbs a piece - thank goodness for modern technology. Even pared down that's one heck of a payload to drag out to the FLGS!

I've got all ffg's books plus a couple dozen other reference books. Then there's my GM file where I keep what I've created. All together it fills a good sized book case. Players comet to my place to play or don't play ar all!

Just look at the shelves sagging in MouthyMerc's picture.

Except I keep all my EotE books together, all my AoR books together, all my F&D books together, etc…. But in each section, I do organize the Adventure modules to the end, and I generally organize the rest roughly by date of publication. I have recently chosen not to haul around the EotE and AoR Adventure books in my rolling luggage.

I also have around ten or eleven of the “Essential Guide” softback books, plus about that many hardback books for things like artwork. I also have a whole box of older WotC and WEG books that I bought from another forum member a while back, and they’re still in the box somewhere.

So, I’d probably have at least two shelves that look about like that, if not three or more.

My wife and I are slowly cleaning up the home office, and one of the goals is for me to be able to put all my Star Wars books together. If/when we get that done, I’ll post pictures.
