Friendly reminder to event hosts

By ricefrisbeetreats, in X-Wing

If you've got a low-ish cap on attendees, say so! If there's a way to pre-register, again, say so.

It was kind of a bummer when 5 people show up to an event that was filled prior to the "doors open" time. Fortunately, another store in town had space to play and we got to play anyways.

But you burnt the first place down before you left correct?

I cannot confirm or deny that the fire was indeed arson or that it was anyone in our party.

Only thing worse that may be if it was filled up prior to the "doors open" time yet some of those people fail to show up leaving things short at launch.

Wait so you showed up for an event and didn't get to play?

Why wouldn't you just call in advance?

Wait there are places that limit the number of players? I mean if there are more than 96, I might understand...

You expect venues to accommodate unlimited enteries? FFG doesn't even do that for Worlds.

You ever heard of space constrictions or Firecode regulations?

hmm but i never see local game stores having problems accommodating extra "Magic" players???

What was the cap ?

Magic players dont require a 3x3 foot playmat, that could be a limiting facto as well.

Try taking a constructive talk with the storeowner to prevent such issues in the future.

Because there is no space difference between a game of MTG and X-Wing right?

We had a Game of Thrones LCG tournament with the same number of people as the regular X-Wing tournament and it took up half the space... imagine that! Must be dark magic at work.

I'd like to play an instant...

Yeah, I'm hosting a Winter Kit tournament next weekend and have to cap it at 16 players. The store literally does not have enough table space for more than that. Plus, going above 16 makes the tournament go much longer time-wise.

I was very careful to state the cap on all my advertising, and it is also listed on the store's pre-registration page.

Now I've just got to figure out what the mystery "Judge's Prize" will be, especially since I'm the judge!

Why wouldn't you just call in advance?

We actually did. One of the guys called twice and was told that registration was at noon with no pre-registration. Then the second call was to ask about space and they said there was plenty.

What was the cap ?

32. It wasn't 8 or 16, but there was someone at every table. There was no space for cards or whatever on the table. People had their stuff sitting on their laps. It was petty tight in there.

Honestly, I'm not mad. We had an excellent time playing at another store in town and with the way I roll, I would have walked away with the C3-PO card and that's about it. I just had the hardest time finding any real information about the event and it was incredibly cryptic. We looked at the store's Facebook page, website, and called and there was no information about there being a cap or pre-registration. Turnout for most local events, including store champs, have been 6 to 12 people.

So a store got 32 players when normally events in the area aren't even half the size?

That just seems like a fluke.

Nah, I keep hearing how there's a lot of people buying stuff and playing at home. The game's been growing here. Again, my 'beef' is that we called ahead, were told that there were no pre-registers and the e-mail notice and Facebook page never mentioned it.

They likely told you there was no pre-registration because there wasn't anyway. Given the information you are providing the store did not have any reason to believe that they need to cap the event, as they had more then double the space of the usual local events available, so there was no reason in thier view to set up pre-reg.

It isn't as if they could accommodate an unreasonably low amount of entrants.

That's the thing. There was pre-registration. They just didn't communicate to their staff and it wasn't on the website. Not sure how other people were able to, but there were 3 open slots at noon the day of the event, the time the registration opened.
